Leading dental network delivers
first-of-its-kind Epic implementation

 

Our client is a pioneer in the dental field with over 1,000 clinics in the United States. When they chose to implement Epic as their EHR in 2019, they knew the implementation would be the first of its kind. Not only would it be the largest dental implementation in Epic history, their size necessitated a rolling Go-Live model that would require constant support. They had also identified broader trends and challenges other health systems had faced when implementing Epic and wanted to take a proactive approach. As a result, they needed a partner who could help them get ahead of common pitfalls, successfully navigate the implementation, and solidify a permanent Epic team—all without sacrificing company culture.

Project Scope


TruTeam took a holistic approach, consulting top-down with executive leadership and line-of-business managers to learn about their unique culture and develop a candidate profile. From there, TruTeam recommended a customized strategy to attract and retain top talent by using a contract-to-hire staffing model. This was a calculated departure from typical Epic implementation staffing, which relies almost exclusively on consultants. By going to market with contract-to-hire as a focus, TruTeam was able to build and manage a team of over 60 expert-level Epic consultants, each with a minimum of two certifications and three years of experience. Most importantly, every consultant was committed to converting to FTE status within their first year.

Our client successfully implemented Epic at 1,000+ clinics over a series of rolling Go-Lives and Community Connect initiatives. Of the TruTeam consultants hired for the project, 98% converted to full-time status within three to 12 months, enabling our client to retain vital in-house knowledge and maintain morale. The contract-to-hire model also helped optimize overall project spend and avoid adding costly outside resources to bridge gaps. Once the initial push of Go-Lives was complete, TruTeam remained the client’s exclusive Epic partner to support their post-live optimization and growth initiatives.
